How can I sync 3rd Party bookings to my Mallard Bay calendar?

Say goodbye to double bookings and calendar chaos.

Keep your schedule organized and your availability accurate with Mallard Bay’s powerful calendar sync tools. This feature lets you import bookings from other platforms as events, giving you the option to automatically adjust your availability so you never get double-booked. You can also export your listing and resource availability to third-party calendars—ensuring everything stays in sync, wherever you're managing your bookings.

How to Import a Calendar to Prevent Double Bookings

Follow these steps to import bookings from other platforms into your Mallard Bay calendar and manage your availability automatically:

  1. Open the Integrations tab
    In the left-hand sidebar of your dashboard, click on Integrations, then select Calendar.

  2. Click “Import Calendar”
    This will open the setup window for a new calendar import rule.

  3. Name your import
    We recommend using the name of the platform you’re importing from (ie Google Calendar, iCal, Outlook, Airbnb, or Vrbo) so it’s easy to identify.

  4. Paste your calendar link
    Add the shareable .ics link from your external calendar. (See below for instructions on locating this link from popular platforms.)

  5. Choose how availability is affected
    Since most calendar services don’t include guest counts, we can’t import that info automatically.

    You can choose to:

    • Remove all availability for the duration of each imported event, or

    • Remove a specific number of slots per event.

  6. Select affected listings and resources
    If you’d like imported events to block availability for specific listings or resources, you can configure that here.

  7. View and manage imported events
    Once imported, events will display the calendar source name in the event details.
    To make changes, click the three vertical dots on the event and select:

    • “Edit guests and trip dates”

    • “Edit check-in/check-out”

    • Or add internal notes

Important Notes

    • Sync Frequency: Imported calendars sync every 12 hours.

    • Archived Imports: If you archive an import rule, all previously synced events will remain on your calendar, but new events will no longer be added.

    • Payments: Imported events don’t support in-platform payments. If needed, use QuickPay to log or collect payments manually.

 



How to Export Your Mallard Bay Availability to a Third-Party Calendar

Keep your external calendars up-to-date by exporting availability from Mallard Bay. This helps prevent double bookings across platforms and ensures everything stays in sync.

Steps to Create a Calendar Export:

  1. Go to the Calendar Integrations page
    From your dashboard, open the Integrations tab in the left sidebar and navigate to the Export tab.

  2. Click “Create”
    Start a new export rule by selecting the Create button.

  3. Name your export rule
    Choose a clear, descriptive name to help you keep track of which export is connected to which platform.

  4. Select what you’d like to export
    Choose the Listings, Lodging, and Resources you want to include in this calendar feed.

  5. Copy your custom export link
    After saving, you'll receive a unique .ics calendar link. Copy this and paste it into your preferred third-party platform (e.g., Airbnb, Vrbo, Google Calendar).

Important Notes

  • Sync Frequency: Mallard Bay exports availability in real-time—events are updated as soon as they occur in the system.

  • Archived Exports: If you archive an export rule, Mallard Bay will stop sending future updates, but past events will still appear on the third-party calendar.

  • Unlimited Exports: You can create as many exports as you need to manage your calendar across platforms.
