With our new QuickBooks integration, you can now sync your QuickBooks account directly with Mallard Bay. Once connected, we’ll automatically push new invoices and update existing ones—keeping everything in sync without the manual work.
We’ll also link payments from Mallard Bay to your QuickBooks records, so your financials stay accurate and up-to-date.

How to setup a connection:
- Launch the Mallard Bay Dashboard.
- Select "Integrations" in the left sidebar.
- Select "Quick Books" from the list of integrations
- Select the green "Connect to QuickBooks" button.
- You will be re-directed to QuickBooks where you will need to login with your QuickBooks credentials.
- You’ll then be prompted to choose the Company where you’d like to install the Mallard Bay for Guides QuickBooks app.
- You'll then be re-directed to confirm you want to finalize the connection.
- After completing the integration, you’ll be redirected to your Dashboard, where you’ll see a confirmation that your account has been successfully connected.
How to configure your personalized integration:
General Settings
In your General Settings, you can choose whether to use the Booking Approval Date, Booking Date, or Trip Start Date as the invoice date.
You’ll also be able to select the account where payments should be reported (ie Undeposited Funds, Savings, Checking, etc.).
Class Mappings
In the Class Mapping tab, you can assign a QuickBooks Class to each of your Mallard Bay listings. If you don’t use classes in QuickBooks, you can simply leave this section blank.
Products and Service Mappings
Finally, in the Products and Services tab, you can choose a default QuickBooks product or service to map your pricing packages and add-ons to. You also have the option to override this default for any specific package or add-on.
This ensures that the correct product or service appears as a line item on your QuickBooks invoices.
Reminder: Be sure to update this section whenever you add new pricing packages or add-ons in Mallard Bay.
How to view a connected invoice or payment in QuickBooks:
If you’re looking for an invoice or a completed payment in QuickBooks, you can search by either the customer’s name or the invoice number.
You’ll find the invoice number near the top of the booking details page.
In QuickBooks, you can find a link to the booking details on the Mallard Bay dashboard within the “Notes to Customer” section of the invoice.
Note: Invoices and payments sync to QuickBooks every 5 minutes. If you notice any delays, please check to ensure your integration is still active.
